These Terms and Conditions (“Terms”) govern all bookings made with Everest Helicopter Tour (“we,” “us,” “our”) for helicopter tour services in the Everest region of Nepal, including Everest Base Camp helicopter tours, Kala Patthar landing tours, and other mountain flight packages. By booking a trip with us, whether online or directly through our team, you agree to these Terms. Please read them carefully before confirming your reservation.
1. Booking & Reservation
You can book with us in two simple ways: online through our website by selecting your trip and choosing a payment option, or directly by contacting our team on WhatsApp (+977-9821766549) or email (info@mteveresthelicoptertour.com) to discuss your preferred date.
No advance payment is required to reserve your seat when you book directly with our team. Helicopter tours depend heavily on weather and flight conditions, so we deliberately keep the booking process simple, flexible, and pressure-free. If you prefer to book online, you may pay in full at checkout or choose our “Book Now, Pay Later” option to lock in your date and settle payment closer to your trip.
A booking is considered confirmed once we have verbally or in writing confirmed your seat, flight date, and trip details with you.
2. Payment Terms
Where payment is required, we accept major credit/debit cards, bank transfer, and other methods shown at checkout. Prices are quoted in USD unless stated otherwise and may change without notice until a booking is confirmed. Once your booking is confirmed, the agreed price will not change except as described under Weather Conditions & Flight Delays below.
3. Cancellation & Refund Policy
We understand travel plans can change. Our standard cancellation policy is as follows:
- Cancellations made more than 7 days before your scheduled flight: full refund of any amount paid, minus any non-refundable third-party fees (e.g. permits or park fees) already incurred on your behalf.
- Cancellations made within 7 days of your scheduled flight: partial refund or credit toward a future booking, depending on costs already committed.
- No-shows on the day of the flight: non-refundable.
- Cancellations or delays caused by us due to weather or safety reasons: full refund or free rescheduling, whichever you prefer.
Because no advance payment is required for bookings made directly with our team, cancelling this type of reservation carries no financial penalty — we simply ask that you let us know as early as possible so we can offer the seat to another traveler.
4. Weather Conditions & Flight Delays
Helicopter flights in the Everest region are highly dependent on weather. Visibility, wind, and cloud cover in the mountains can change quickly, and passenger safety always comes first. If your flight is delayed, rescheduled, or cancelled due to weather or air traffic restrictions:
- We will make every reasonable effort to reschedule your flight for the next available slot at no extra cost.
- If rescheduling isn’t possible within your travel dates, you will receive a full refund for that flight.
- We are not responsible for additional costs such as accommodation, transport, or missed onward connections caused by weather-related delays.
5. Changes to Itinerary
We reserve the right to adjust flight routes, landing sites, or timing due to weather, air traffic control, government regulation, or other operational and safety considerations. We will inform you of any changes as soon as possible and aim to offer the closest available alternative experience.
6. Passenger Eligibility & Health Requirements
Helicopter tours to high-altitude destinations such as Everest Base Camp and Kala Patthar involve rapid altitude gain. Please note:
- Passengers with serious heart, lung, or other underlying medical conditions should consult a doctor before booking.
- Pregnant travelers and young children may be subject to restrictions — please tell us at the time of booking so we can advise you.
- We ask all passengers to disclose relevant health conditions honestly so we can assess suitability for the flight.
- Each helicopter has a maximum passenger weight limit for safety reasons; we may ask for your approximate weight when booking.
7. Baggage & Luggage Policy
Due to weight and safety restrictions on helicopters, luggage allowance is limited. We recommend carrying only a small daypack with essentials such as a camera, warm layers, water, and personal medication. Exact weight limits will be shared with you at the time of booking or before your flight.
8. Liability & Travel Insurance
Our flights are operated by licensed helicopter operators in compliance with Civil Aviation Authority of Nepal (CAAN) regulations. While we take every reasonable precaution to ensure a safe experience, mountain flying carries inherent risks beyond anyone’s control. We strongly recommend that all travelers carry comprehensive travel insurance covering high-altitude flights, trip cancellation, and medical evacuation. Everest Helicopter Tour is not liable for losses, injuries, or delays arising from causes beyond our reasonable control, including weather, natural events, or third-party operator decisions.
9. Force Majeure
We are not liable for any failure to perform our obligations where that failure results from circumstances beyond our reasonable control, including but not limited to natural disasters, extreme weather, political unrest, government restrictions, or airspace closures.
10. Changes to These Terms
We may update these Terms and Conditions from time to time to reflect changes in our services, policies, or legal requirements. The most current version will always be available on this page.
11. Governing Law
These Terms are governed by the laws of Nepal, and any disputes will be subject to the jurisdiction of the courts of Kathmandu, Nepal.
